About the organisation
Public Skills Australia (PSA) is appointed by the Department of Employment and Workplace Relations (DEWR) as one of 10 Jobs and Skills Councils. Public Skills Australia works with employer and employee representatives (career and volunteer) from the Public Safety and Government industry-sectors – Police, Fire and Emergency Services, Correctional Services, Defence, Federal, State/Territory, and Local Government – and provides the following services in support of industry:
· development and consultation of workforce planning and training products that meets industry and policy needs;
· implementation, promotion and monitoring of strategies that drive improvement of training delivery and monitor resulting impacts; and
· stewardship of intelligence relating to workforce challenges and skill needs.
About the position
Business Support Officer - Office of the CEO provides a range of administrative duties to the CEO and Executive Advisor, ensuring smooth running and effective communication in the Office of the CEO. This position establishes and maintains effective confidential administrative processes associated with the Office of the CEO and also manages the calendars, diaries and travel for the Office of the CEO. This position requires a high level of stakeholder management, exceptional organisational skills and the ability to handle multiple projects and tasks within a confidential context.

Key responsibilities
This role will be responsible for:
Providing high-level administrative and executive support to the CEO and members of the Office of the CEO including coordinating complex diaries, travel, meetings and events.
Ensuring document filing, and compliance obligations for the Office of the CEO.
Monitoring CEO correspondence to ensure timely responses, communications to and from the Office of the CEO and supporting formal communications with ministerial offices, government agencies and other high-ranking officials.
Contributing to projects and initiatives driven by the CEO and Executive Team.
Supporting drafting of presentations, communications, speaking notes and other meeting materials.
Taking minutes and other records of meetings as directed by the Office of the CEO.
Collaborating with the wider team across the company and providing ad hoc support to the company executive (where required).
Maintaining a high level of confidentiality when dealing with requests and/or information, being able to rebuff firmly, while remaining professional.
Supporting corporate governance requirements as directed by the Office of the CEO.
Undertaking responsibilities and key work activities, diligently, in a planned and purposeful way.
Undertaking other reasonable duties as required.
Key selection criteria
Essential
Proven experience as an Executive Assistant or similar role (5+ years preferred, 3 years minimum) working with Executives.
Exceptional written and verbal communication skills.
Strong organisational and time-management skills including the ability to handle multiple tasks.
Proficiency in office software (e.g., Microsoft Office Suite, project management tools).
High level of discretion, reliability professionalism and attention to detail.
High level of assertive communication, being able to rebuff requests firmly, while remaining professional.
Strong interpersonal skills to build and maintain relationships including the ability to proactively and persistently resolve issues as they arise.
The ability to work with a sense of urgency and anticipate internal/external stakeholder expectations.
Desirable
Demonstrated experience working within service-focused organisations including public safety, not-for-profit companies and/or government.
Relevant certifications (e.g., Advanced Diploma in Executive Support) or higher education degrees (i.e. Diploma or Bachelor’s degree in Business Administration) or a related field are advantageous.
Other
- For the duration of employment, the incumbent is required to:
pass and maintain a National Police Record Check
pass and maintain an ‘employee’ type Victorian Working with Children Check (WWCC)
be vaccinated against COVID-19
be legally allowed to work within Australia.
It is strongly preferred that the applicant hold a current Australian State or Territory drivers’ licence (car).
There will be times when it is required to work outside normal business hours i.e. evenings and weekends to meet stakeholder requirements.
Travel may be required for this position, including overnight stays and journeys by road, public transport and commercial airlines.
Type of employment
This is fixed term position subject to Government funding, to reflect the Department of Employment and Workplace Relations (DEWR) grant funding until 30 June 2026.
Experienced staff within the public service will be considered for secondment arrangements.

Location
The position is based at the company’s office within the Melbourne Central Business District (CBD).
PSA supports flexible working arrangements, with a focus on balancing staff needs with work requirements.
Staff can expect dependant on work deliverables, that they may be required to work from the office location exclusively for a period of time. With PSA is in its establishment phase, it is anticipated that in the first instance work will be primarily conducted from the Melbourne office.

PSA has been established to provide public safety and government workforces with a stronger voice to ensure Australia’s vocational education and training (VET) sector delivers better outcomes for learners and employers. We bring together employers, unions and governments in a tripartite arrangement to find solutions to skills and workforce challenges across Police, Fire and Emergency Services, Corrections, Defence and Local, State and Federal Government.
The Projects and Research Officer role will form part of the Projects Portfolio team which is responsible for delivering on all work assigned to the team including:
- projects required by the Department of Employment and Workplace Relations (DEWR)
- research and analysis projects initiated to deliver on identified workforce strategies
- internal projects to support continuous improvement and business operations
- surge capacity to other areas of the business as and when required.
The position of Projects and Research Officer will be accountable to the Manager responsible for Projects Portfolio and will support the progression of projects from the conception through to the final deliverable and closure (end to end).
The Projects and Research Officer will provide insights into current and long-term issues affecting PSA and our industries. The Project and Research Officer will be expected to deliver on several items of work simultaneously, including various tasks in collaboration with subcontractors, such as analysis and interpretation of quantitative and qualitative research, stakeholder consultation, report drafting and facilitation of technical committee meetings.
We are looking for applicants with demonstrated experience delivering quality work as outlined in varied project plans. The role is also expected to demonstrated experience in secondary and applied research, literature reviews and benchmarking activities to prepare research summaries/reports. You will be part of a relatively new team and taking up a new role within the organisation. We are seeking an experienced project and research person, who is resilient, curious and innovative. The successful applicant will also be able to deliver high quality, accurate information in a variety of formats to inform the decision-making of PSA and our industries.
